Abstract
Due to the increase in the number of Final Degree Projects (FDP) at Escuela Politécnica Superior (EPS) at Universidad Autónoma de Madrid, in recent years, when it comes to managing the growing number of students, projects, and the corresponding Evaluation Committees (EECC), the need has arisen to develop a software tool capable of automatically performing or supporting the involved management tasks.
This tool avails itself of the total number of professors that make up each one of the three degrees offered by the school, indicating the specific technologies of each one. Also appearing are the students that have assigned or have already defended a FDP, and the FDPs that have been cancelled. In addition, it has the FDP information (title, description, advisor, speaker…) that have been presented up to date. Lastly, it also manages the information associated to the EECC, with their corresponding FDPs, date, location and assigned professors (president, speakers and substitutes).
The main goal of the tool is to automatize or assist the management of each of the aforementioned information, being able to add, modify or eliminate any of the details pertaining to the students, professors, FDPs and EECCs.
With regards to the EECCs, the tool has to be able to generate the upcoming committees that will take place. In order to do this, the users (i.e., the FDP coordinator) chooses the degree of the committees he/she want to generate (GII, DGIM or GITST), the maximum number of FDPs that can be assigned to each committee, the academic year, and the submission deadline and defense. At this point, it has to generate a first approximation of all the committees and the projects assigned to each of them. Then, the user has to be able to move the FDPs they consider necessary and continue with the process. Next, the tool has to assign the professors to each of the existing committees, thus showing once again how the committees would be. Finally, after the user makes the appropriate changes (if any), the tools sets and stores the created committees.
